Archiving Specimens

Procedure for Archiving Specimens
(Reference: Donald D. Cox, A Naturalist’s Guide to Wetland Plants, 2002, Syracuse University Press: Syracuse New York, pp. 139-146.)

  1. After the specimen has dried completely, remove it from the plant press while still on its mounting paper.
  2. Glue the specimen to the mounting paper at key points, particularly those where a loose leaf or flower might break off. Glue the stem just below a flower, rather than gluing the flower directly to the mounting paper.
  3. Complete a label for the specimen, filling in all information.
  4. Obtain an accession number for this specimen by consulting the herbarium log book of accession numbers. Record the next successive number in the log book and use this number to complete the label for this specimen.
  5. Record this number on the field data sheet. Ensure that this number is recorded in all of the following places:
    • on the Field Data Sheet
    • on the label attached to the mounting sheet containing the dried specimen
    • on the cover of the archival folder containing the mounted specimen
    • in the first field of the herbarium data base for the information for this specimen
    • in the name of the digital image file for the specimen
    • on the final report that is filed in the herbarium filing cabinet for this specimen
  6. Afix the label to the mounting paper in the lower right-hand corner of the mounting paper.
  7. Place the mounted specimen table under the suspended digital camera and photograph is showing the entire mounting paper, including label. Close ups of special areas of interest, such as roots, seeds, and flowers can also be taken for inclusion in the digital image library associated with the herbarium data base.
  8. Complete all fields in the herbarium data base using the information on the field data sheet.
  9. Link the images of the specimen in the appropriate field.
  10. Print out a report sheet for the specimen and file the report under the appropriate genus and species in the herbarium filing cabinet.
  11. Place the mounted specimen in a species folder and label the folder with the full scientific name (genus and species).
  12. Place the folder in the herbarium cabinet in the appropriate area for that genus. If a genus folder is present for that species, place the species folder within the genus folder.
