Advancement Services

 

The Office of Advancement Services provides support for all areas within University Advancement and serves as a partner through information technology and management, gift processing and records management, donor relations and stewardship, and prospect research and management. Our goal is to effectively provide oversight and deliver services that will enable the University Advancement team to advance and fulfill the mission to help fund Elizabeth City State University priorities. We endeavor, always, to be best in class, sharing our expertise and professionalism for the good and advancing the mission of ECSU.

Advancement Services’ mission is to provide information infrastructure and services to support university advancement activities, and to assist campus-wide university departments and organizations with information needs in accordance with the university’s mission.

Advancement Services protects fundamental rights to privacy and confidentiality and is committed to the ethical collection and use of information. We follow all applicable federal, state, and local laws as well as university policies governing the collection, use, maintenance, and dissemination of information.


Advancement Services works to:

  • Develop, implement, monitor, and continuously improve systems, reporting mechanisms and data infrastructure to support university advancement and its customers initiatives and operations as they relate to alumni and development information.

  • Plan, implement, monitor, and continuously improve donor relations and gift stewardship systems and processes. Provide stewardship reports for requested accounts, generate gift acknowledgement letters for donors and maintain working relationships with development officers.

  • Plan, implement, measure and continuously improve gift and biographical data entry with an emphasis on data accuracy and timeliness.

  • Research donor prospects by collecting, evaluating, analyzing, organizing, packaging and disseminating publicly available information in a way that maximizes its usefulness for the advancement division and ECSU.

  • Provide tools, systems and training to support fundraising efforts, and provide general support for the computing needs of advancement.

Database Management & Information Technology

Database & Information Technology for Elizabeth City State University Advancement uses a suite of products through Blackbaud and other supported vendor products. The team uses Raiser’s Edge NXT as the donor database ensuring an infrastructure that allows for effective oversight of business processes analysis and implementation. We outline, document and institute our fundraising processes, with the guiding force of best practices and industry standards.

 

Gift Processing & Record Administration

The staff of Gift Processing & Record Administration processes donations made to Elizabeth City State University. The team is responsible for recording and maintaining alumni and donor information, providing biographical and gift processing, and ensuring that all contributions are receipted in a timely manner.

Processing and acknowledgment of gifts include donations of gifts made via cash, credit card, securities and gifts-in-kind. Biographical updates processed in the donor database include notification of name changes; updates to addresses, email addresses, and phone numbers; employment information; marriages; deaths; and research of lost alumni. Gift Processing & Records Administration also administers the corporate matching gifts program.

 

Donor Relations and Stewardship

The staff of Donor Relations and Stewardship within the Office of Advancement Services is a central resource that fosters a collaborative relationship with our fundraising and campus partners. We use best case strategies and practices to engage and/or re-engage new and current prospects and donors across all key constituent groups.

Donor services include producing gift reports, pledge commitments, initiating gift agreements for execution, managing recognition events, and providing any additional client and/or constituent service needed for effective and timely stewardship.

 

Prospect Research and Management

Prospect Research & Management aims to provide data that helps to build, maintain, and strengthen the relationships with Elizabeth City State University. This collected information is used in conjunction with information gathered by University Advancement staff to help create a sophisticated approach to fundraising that is well-intentioned, sensitive, and effective. Prospect Development professionals conduct research on individuals, corporations, and foundations. They collect, evaluate, analyze, organize and disseminate publicly available information in a way that maximizes its meaningfulness in making decisions for University Advancement operations.

 

Matching Gifts

Many employers sponsor matching gift programs and will match charitable contributions made by their employees. Some companies may even match gifts made by retirees and/or spouses.  If your company is eligible, we encourage you to request a matching gift form from your employer and send it completed and signed with your gift (or submit it online, if applicable).  We will do the rest.  The impact of your gift to the University may be doubled or even tripled!
